When we act as processor

On the Livalos platform we build and manage websites for customers. For the data of visitors and users of those websites (for example accounts, forms, newsletter sign-ups or contest entries), our customer is the controller and we are the processor. We only process that data on behalf of the customer, under a data processing agreement. If you have a question about such a website, please contact the organisation behind it first.

Which data we use, why and on what basis

• Website visitors, statistics: IP address, device and browser data, pages visited and cookie IDs, to improve the site. Basis: your consent (analytics cookies, only after your choice in the cookie banner).
• Website visitors, site operation: session cookie, language setting and your cookie choice, to make the site work. Basis: our legitimate interest.
• Prospects and contact forms: name, email, phone, company and your message, to answer your question and prepare a quote or appointment. Basis: our legitimate interest and pre-contractual steps.
• Customers: name, company, contact details, VAT number, invoice and payment data, to perform the contract, invoice and keep our accounts. Basis: performance of the contract and legal obligation.
• Dashboard users (app.livalos.com): name, email, sign-in via Google, LinkedIn or Microsoft (social login), organisation, usage data and payment and billing data (via Stripe), to give you access to and let you manage your platform. Basis: performance of the contract.
• Support: name, email, the content of your request and technical data, to resolve your question. Basis: performance of the contract or our legitimate interest.
• Newsletter and marketing: email, name and preferences, to keep you informed via ActiveCampaign. Basis: your consent, or our legitimate interest towards existing customers for similar services.

You can withdraw your consent at any time. We do not take automated decisions with legal effect.

Use of Google and YouTube data

Livalos uses Google APIs (including the YouTube Data API) through our internal automation, only to manage and publish videos and captions on the Livalos channel itself. For that we request the youtube.force-ssl access (manage the YouTube account and channel) and no more than that. We use the data only for that function. We do not share it with third parties, sell it, use it for advertising or use it to train AI models. Staff only read the data when needed to resolve a problem or when the law requires it. Access tokens are stored securely and deleted as soon as the connection is revoked, via https://myaccount.google.com/permissions.

Livalos' use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements. For the YouTube part, the YouTube Terms of Service and the Google Privacy Policy also apply.

Who we share data with

We only share data with suppliers who need it to deliver our service, under a data processing agreement or equivalent arrangements: hosting and infrastructure (Amazon Web Services in Frankfurt, Level27, Combell), email and office tools (Google Workspace, Microsoft 365), transactional email (Twilio SendGrid), newsletters and marketing (ActiveCampaign), payments (Stripe), invoicing and accounting (Zenfactuur, Yuki), web statistics (Google Analytics) and AI services (Anthropic) for processing text. We never sell your data.

Transfers outside the EEA

Some suppliers (such as Google, Microsoft, Twilio, Stripe, ActiveCampaign and Anthropic) are based in the United States or process data there. This only happens on the basis of an appropriate safeguard, such as the EU-US Data Privacy Framework or the European Commission's standard contractual clauses.

How long we keep data

• Invoices and accounting: 7 years (legal obligation).
• Customer and account data: for the duration of the contract and 2 years afterwards.
• Contact forms, support and prospects: 24 months after the last contact.
• Newsletter: until you unsubscribe.
• Analytics cookies: 13 months at most.
• Google access tokens: until you revoke the connection.

Your rights

You always have the right of access, rectification, erasure, restriction of processing, objection and data portability, and you can withdraw your consent. You can object to direct marketing free of charge. Email info@livalos.com; we reply within one month and may ask you to confirm your identity.

Complaints

If we cannot resolve it together, you can lodge a complaint with the Belgian Data Protection Authority, Drukpersstraat 35, 1000 Brussels, contact@apd-gba.be, www.gegevensbeschermingsautoriteit.be.

Security

We protect data with encrypted connections, role-based access control and regular backups.

Cookies

Cookies are small text files that a website places on your device. We use:

• Necessary cookies: a session cookie and the cookie that remembers your choice in the cookie banner (Klaro). Without these the site does not work properly.
• Analytics cookies: Google Analytics (GA4), only if you give consent. You can change your choice at any time via the cookie banner.
